INFORMATION ON THE PROCESSING OF PERSONAL DATA COLLECTED FOR THE INSTITUTIONAL SERVICES PROVIDED BY OPERA UNIVERSITARIA DI TRENTO
Pursuant to Articles 13 and 14 of EU Regulation 2016/679 on the protection of natural persons with regard to the processing of personal data (hereinafter, for brevity, "Regulation" or "EU REG.") and subsequent amendments, Opera Universitaria di Trento, in its capacity as Data Controller, provides you with the following information regarding the processing of personal data carried out in the course of providing its services.

The Purposes and Legal Bases for the processing are as follows:
Contractual Purposes: a) Verification of the existence of requirements for accessing benefits for the right to education and for any other purpose provided for by law; b) Determination of scores and ranking on lists; c) Concrete provision of services (for scholarships, access to catering services, and accommodation fees); d) sending communications related to the services provided; e) disciplinary proceedings against students residing in the facilities. Legal Basis: Performance of a contract/User's request/provision of a service.
Mandatory Purposes by Law: a) Application of workplace safety measures in accordance with the provisions of Legislative Decree 81/2008; b) Archiving and retention of data concerning the benefits provided. Legal Basis: Compliance with a legal obligation.
Purposes Based on a Legitimate Interest: a) Surveys for service evaluation and customer satisfaction; b) Statistics, on aggregated or anonymous data, without the possibility of identifying the user. Legal Basis: Legitimate interest of the data controller.
Purposes Based on Public Interest: a) Processing of special categories of data, specifically data related to racial and ethnic origin (for non-EU citizens and for stateless or refugee status); b) Processing related to health status (for disabled students). Legal Basis: Public Interest.
3. Nature of Data Provision and Consequences of Failure to Provide Data
The provision of data is mandatory in order to use the requested services. Refusal to provide personal data makes it impossible for Opera Universitaria di Trento to fulfill the stated purposes.
4. Data Processing Methods
The processing of your personal data will be based on the principles of lawfulness, fairness, and transparency, protecting your privacy and that of your family members, in compliance with the principles set out in Article 5 of the EU REG. The processing can be carried out by manual modes, with paper documents, and also with the aid of electronic or otherwise automated tools.
The data are collected and processed at the headquarters of Opera Universitaria di Trento, in specific document archives/Servers.
Your personal data are processed using appropriate technical and organizational security measures pursuant to Article 32 of the EU REG., in order to ensure a level of security adequate to the risk, minimizing the risks of destruction or loss, unauthorized access, or processing that is non-compliant with the purposes of collection.
Your personal data are not subject to automated decision-making processes or profiling.

For the purposes referred to in point 2) of this policy, Opera Universitaria di Trento may need to communicate your personal data to trusted external parties, specifically:
Physical or legal persons who provide consultancy or service activities to Opera for the purpose of providing benefits for the right to education (e.g., provision of meal cards, banks, companies in charge of the operational management of university residences). These bodies and companies will act as data processors pursuant to and for the purposes of Article 28 of the Regulation, or they will operate in complete autonomy as separate data controllers. Opera may also communicate the personal data it holds to other public administrations for the purpose of verifying self-certifications submitted in competitive processes or whenever these administrations need to process the same data for any procedures within their institutional competence, as well as to all public bodies to which, where the relevant conditions exist, communication is mandatory under EU provisions, laws, or regulations.
No data transfers abroad are foreseen.
6. Personal Data Retention Period
Your personal data will be retained for the entire duration of the contractual obligation and also after its termination for the time necessary to fulfill all applicable legal obligations (e.g., of a fiscal nature) and/or administrative requirements connected to or arising from the contractual obligation itself.
